  1. Form a crew of 7-12 adults and youth.

  2. Register for the trek lottery in November, two years prior to your trek.

  3. Lottery winners are notified after the first week in December.

Forming A Philmont Crew

  • Crews sizes may range from 7-12 individuals.
  • Each crew must have a minimum of two adults but no more than four adults, 21 years of age or older, and the majority of the crew must be youth.
  • Venturing: Coed crews must have at least one female adult and one male adult.

Philmont Registration System

NEW FOR 2018

  • Your unit representative may enter the system anytime from the start date to the end date – there are no BSA Region assigned dates as in previous years.
  • Beginning in 2018, any unit is able to attend in consecutive years. Unit reservation requests for 2018 Expeditions for Philmont Scout Ranch will be made online beginning Wednesday, October 26 thru Wednesday, November 16, 2016. Please read this information completely for instructions on the process, fees, and attendance requirements for Philmont. The following information is provided to assist your unit in placing a reservation request:
  1. From Wednesday, October 28 thru Wednesday, November 16, 2016, reservation requests will be accepted online for 12-day and 7-day Expeditions. This is strictly a random draw and an entry on October 28, 2015 will be treated equally as an entry on November 16, 2016.
  2. Reservations will not be assigned in the order that requests are made. Reservations will be picked randomly by computer after November 19, the close of the reservation request period. Special Note: Boy Scout Troops, Varsity Teams, Venturing Crews, and Explorer Posts who have officially been on each year’s Wait List for the past four consecutive years ( 2017, 2016, 2015, & 2014) will be given priority treatment. These units still need to place an entry for their unit at this time and the system will grant a reservation before the other requests are randomly considered.
  3. Units may make only one reservation request during this process. However, the request may be made for consideration of multiple arrival dates. Please do not attempt to make duplicate reservation requests.
  4. A unit representative may place a reservation request for members of their chartered unit only, but are not limited to one crew (maximum crew size = 12 participants), however, please be realistic when estimating attendance to avoid unnecessary expense (forfeited fees) and to permit the maximum number of units to obtain a reservation. Please refer to the formula on the worksheet to determine the number of crews you are requesting.
  5. A worksheet is provided in order to assist you in collecting the information required to place your reservation request. Please complete the worksheet and have it available when you access the website. DO NOT SEND THE WORKSHEET TO PHILMONT.
  6. Unit representatives may log on to beginning Wednesday, October 26. The system will allow the unit representative to create a password to allow changes or corrections to the unit reservation entry anytime during the reservation request window. The representative will receive a confirmation email at the conclusion of the request process. Only one record is kept on file for each unit.
  7. Once the unit reservation request window closes, the system will randomly select units to receive reservations. When 2018 reaches capacity, groups will continue to be drawn and placed on a Wait List for 2018 in the event of cancellations.
  8. Units with a confirmed 2018 reservation for Philmont will be allowed to place a request for 2018 – beginning in 2018, units are allowed to attend in consecutive seasons. Reservations may not be transferred from one unit to another. Philmont will maintain the Wait List and contact the next available group on this list in the event of a cancellation.
  9. After the computer selection process is completed, an email will be sent to each representative giving them their unit’s status. You should receive this email no later than December 7, 2016.
  10. Units that are successful in obtaining a reservation will receive a confirmation letter in December requesting a $100 non-refundable deposit, per participant due January 30, 2018.
